Team Management: Add Members and Control Portal Permissions
Team Management vs Calendar Assignment
Team Management controls who can sign in to your SimpleCheck portal. It replaces shared owner logins with named access and lets each teammate see only the features needed for their role.
Widget Team Setup controls which connected calendars receive bookings.
These are separate: a person can need portal access, calendar assignment, or both.
Why Use Named Team Access?
- Stop sharing the owner password
- Limit billing, customer, tracking, and notification data to the right people
- Give sales reps operational access without exposing API credentials
- Remove access cleanly when a teammate leaves
Open Team Management
Open Dashboard and find Team Management.

Team Management lists members, access presets, enabled feature labels, and edit/remove actions.
Add a Team Member
- Click Add Team Member.
- Enter the team member’s email.
- Set an initial password and share it securely.
- Choose an access preset.
- Fine-tune feature permissions when using Custom access.
- Click Add Team Member.

Choose a preset, then enable only the workspace/advanced/account features the person needs.
Permission Presets
- Dashboard only — shared overview only
- Full access — all sub-user-assignable features
- Custom access — choose each feature
Dashboard access is always included.
Available custom features can include:
- Widgets
- Bookings & Leads
- Smart Capture
- Reports
- Connections
- Customer Management (eligible accounts)
- Pixel Wiring
- Email Notifications
- Team Management
- Billing
Developer API tokens remain owner-only and cannot be granted to a sub-user.
Edit Permissions
Use the edit action beside a member:
- Review the email (not editable).
- Change the preset or individual feature permissions.
- Click Update Permissions.
- Ask the member to refresh/sign in again if the navigation does not update immediately.
Grant least privilege—especially Billing, Team Management, Customer Management, Pixel Wiring, and notification logs.
Remove a Member
Use the remove action only when access should end. Removing portal access does not automatically remove that person/calendar from every widget.
Also review:
- Widget Team Setup
- Calendar Teams
- Assigned-person routing
- CRM ownership/workflows
- Notification recipients
Troubleshooting
Add/edit buttons are disabled
Your account needs Team Management permission.
A member cannot see a page
Edit the member and enable that feature; confirm it is also enabled for the owning account.
A removed member still receives bookings
Remove their calendar from the widget’s Team Setup and Calendar Teams.
A full-access member cannot see Developer API
Expected: API tokens are owner-only.
Never share the owner login or API token as a shortcut for permissions.
