SmartForm CRM Integration: Step-by-Step Guide to Connecting Your CRM Using Zapier Webhooks

This article walks you through connecting SmartForm to any CRM (e.g., HubSpot, Close, Salesforce, Pipedrive) using webhooks and Zapier. You’ll capture lead data, run a live test, and map credit fields like Spendable Credit, DTI, and more directly into your CRM.

Step-by-Step Setup:



1. Create a webhook inside your SmartForm portal


  • Go to your SmartForm calendar widget and add a new webhook.
  • Name it something like: Booking - HubSpot or Booking - Close CRM.
  • Set the event type to: Lead Created.





2. Create a Zap in Zapier


  • Go to Zapier → Create a new Zap.
  • Choose the app: Webhooks by Zapier.
  • Choose the trigger event: Catch Hook.
  • Skip configuration and go straight to Test Trigger.
  • Copy the Webhook URL provided.





3. Paste the Webhook URL into SmartForm


  • Go back to your SmartForm webhook setup.
  • Paste the Zapier webhook URL into the Webhook URL field.
  • Click Test Webhook.





4. Run a live lead through SmartForm (not test data)


  • In your SmartForm portal, open the calendar widget → Preview & Embed → Click the form link.
  • Book a call with yourself using real data (name, phone, email).
  • Important: If you’re already in your CRM, delete your entry before submitting so it’s treated as a fresh lead.





5. Back in Zapier: Capture and confirm real test data


  • Return to Zapier → Click Find new record.
  • Select the test record with your actual data.
  • Click Continue with selected record.





6. Choose your CRM as the next Zap action


  • In Zapier, search for your CRM (e.g., HubSpot, Close, Salesforce).
  • Choose the action: Add or Update Contact.
  • Start mapping these fields:
    • First Name
    • Last Name
    • Phone Number
    • Email





7. Create 4 custom fields in your CRM


You’ll need these fields to map the credit data:

Custom Field Name

Description

SimpleCheck DTI

Debt-to-Income ratio

SimpleCheck Credit Score

Soft pull credit score

IP Address

Lead’s IP address

Spendable Credit

Available card balance data


After adding these to your CRM, go back to Zapier and click “Refresh fields.”



8. Map SmartForm data to those custom fields


Use these mappings in Zapier:


  • Spendable Credit → SmartForm field: credit amount
  • IP Address → SmartForm field: IP address
  • SimpleCheck Credit Score → SmartForm field: credit score
  • SimpleCheck DTI → SmartForm field: DTI





9. Finish setup


  • Hit Continue in Zapier.
  • Turn the Zap ON.
  • You’re done.



Now, every new lead through SmartForm will be pushed into your CRM with all mapped SmartCheck data—automatically.




✅ Final Notes:



  • Only new leads pushed through SmartForm after webhook setup will trigger this Zap.
  • Use real test data, not placeholder/test data, or your CRM field mapping will be off.
  • You never need to touch this again once it’s live—set it and forget it.
