Recommended Smart Routing Settings for Lead Quality and Calendar Efficiency

Start With a Simple, Testable Routing Plan

The best routing setup is one your team can explain, test, and measure. Start with a few clear paths before adding complex rules.

Quick path: Widgets → select widget → Smart Routing

Smart Routing is included with SmartForm. Credit-data rules require X-Ray Vision, which is automatically enabled while Smart Routing is active.

Qualified Leads

Example starting condition: Credit score ≥ 650

Possible actions:

  • Show calendar for all assigned members
  • Show calendar for a selected Calendar Team
  • Redirect after booking to a confirmation/onboarding page
  • Apply supported CRM tags/actions

Use 650 only as a starting example. Adjust it from your own conversion/show-up data.

Not-Qualified Leads

Example starting condition: Credit score < 650

Possible actions:

  • Show a respectful custom message
  • Redirect to an alternate offer/resource
  • Block calendar availability when appropriate

Avoid stigmatizing language. The visitor should receive a clear next step.

High-Priority Leads

For a separately tested higher threshold, consider:

  • A priority Calendar Team
  • A shorter scheduling path
  • Allow double booking when your team can handle overlapping appointments

No-Score / Failed Check

Create a deliberate default action. A missing score can result from an unmatched identity or unavailable data; it is not proof of low quality.

Options include:

  • Show the normal calendar
  • Show a message asking the lead to verify information
  • Redirect to manual qualification
  • Add a CRM tag such as No Score Returned

Rule Order

Place the most specific ranges first and avoid overlaps. Example:

  1. Score ≥ 750 → priority team
  2. Score 650–749 → standard sales team
  3. Score below 650 → alternate path
  4. Default/no score → manual/default path

Review the operators at each boundary so scores such as exactly 650 or 750 have one clear result.

Calendar Setup

Before using Show calendar:

  1. Open Team Setup.
  2. Assign the calendar members used by this widget.
  3. Optionally create Calendar Teams for Smart Routing.
  4. Add personal Zoom/Meet/Teams links when the provider does not supply one.

Test and Optimize

  1. Submit test leads for every boundary/default case.
  2. Confirm the expected message, redirect, calendar, team, and CRM action.
  3. Monitor downstream show-up/close results.
  4. Change one rule at a time and document why.

Do not assume one threshold works for every offer or audience.

For help, contact support with the widget, rule name, expected result, actual result, and test time.
