How to Connect Your CRM to SmartForm
Before You Start
SmartForm can sync new leads into your CRM automatically. You connect each CRM once at the account level, then choose how it applies in each widget’s CRM tab.
Core CRM connections:
- GoHighLevel (OAuth) — lead sync and GHL calendar bookings from one connection
- HubSpot (OAuth) — lead sync with automatic SimpleCheck contact properties
- Pipedrive — lead sync (usually via Connections; requires your Pipedrive company domain)
- ClickFunnels — lead sync to contacts (must be enabled on your account; pick a workspace per widget)
Extended CRM connections: Accounts with extended integrations can also see Salesforce, Zoho CRM, Dynamics 365, Attio, Capsule CRM, Close CRM, ActiveCampaign, Affinity, Apollo, and others under Connections → Available → CRM.
Important: When a new lead is created, SmartForm syncs it to every CRM you’ve connected. Connecting HubSpot and GoHighLevel means both receive the lead. A failure in one CRM does not block the lead from saving in SmartForm.
Note: Close CRM and Salesforce can appear as Coming soon in the widget CRM panel even when an extended connection is available under Connections. Check Connections → Available → CRM first; use the widget Webhooks tab when the provider is not available there.
Quick path: SmartForm portal → Connections → Available → filter CRM → Connect → open your widget → CRM tab → confirm status
Where CRM Connections Live
There are two places you’ll use:
- Connections (
/connections) — account-wide connect / disconnect for tools - Widget Editor → CRM — per-widget CRM status, GoHighLevel OAuth, ClickFunnels workspace selection

Connections → Available: use the category filters at the top to narrow the integration catalog.

Connections → Available → CRM: the focused catalog shows GoHighLevel, HubSpot, Pipedrive, and ClickFunnels.
Connect GoHighLevel (Recommended: OAuth)
GoHighLevel is the most common CRM setup. One OAuth connection powers:
- Contact / lead sync for form submissions
- GoHighLevel calendar bookings (when your widget uses GHL calendars)
Steps
- Open your widget in Widget Setup.
- In the right integrations panel, click the CRM tab (next to Business / Calendar / Video / Leads).
- Find Go High Level.
- Click Connect via OAuth.
- Sign in to HighLevel if prompted, then choose the location you want SmartForm to use.
- Approve access. When you return to SmartForm, the card should show Connected with OAuth.

Widget Editor → CRM: Go High Level shows Not connected with Connect via OAuth (and Legacy API Key for older setups only).

GoHighLevel Marketplace OAuth: sign in to HighLevel to continue, then choose a location.

Widget Editor → CRM after a successful OAuth connection: Go High Level shows Connected with OAuth. You can Connect another location if needed.
Quick path: Widget Editor → CRM → Go High Level → Connect via OAuth → pick location → approve
Important: Prefer OAuth. The Legacy API Key option exists only for accounts that have not migrated yet. GoHighLevel has removed support for legacy keys for new setups. If you see Legacy API Key Deprecated, click New OAuth Connection.
Note: The same GoHighLevel OAuth connection is used for lead sync and for GHL calendar bookings. You do not need two separate GHL connections for those jobs.
Connect HubSpot
- Go to Connections → Available (or open the widget CRM tab).
- Find HubSpot and click Connect.
- Complete the HubSpot OAuth popup and approve access.
- Confirm the HubSpot row shows Connected / lead sync active.
Quick path: Connections → Available → HubSpot → Connect → approve OAuth
What syncs: New SmartForm leads create or update HubSpot contacts. SmartForm also creates SimpleCheck contact properties when needed (credit score, credit amount, DTI, income, qualification, and related fields) and can attach a lead submission note.
Connect Pipedrive
Pipedrive is usually connected from Connections.
- Go to Connections → Available.
- Find Pipedrive and click Connect.
- When prompted for Pipedrive company domain, enter only the subdomain from your Pipedrive URL.
Example: for https://your-company.pipedrive.com, enter your-company.
- Click Connect Pipedrive and finish authorization.
- Confirm Pipedrive appears under Connected.
Quick path: Connections → Available → Pipedrive → enter company domain → Connect Pipedrive
Note: If Pipedrive does not appear under Available, your account may not have that integration enabled yet. Contact support to request access.
Connect ClickFunnels
ClickFunnels must be enabled on your SimpleCheck account before connect works.
- Go to Connections → Available (or the widget CRM tab).
- Find ClickFunnels and click Connect.
- Complete OAuth for your ClickFunnels workspace.
- If you connect more than one workspace, open the widget CRM tab and set Workspace for this widget.
- Confirm the selected workspace is shown for that widget.
Quick path: Connect ClickFunnels → Widget Editor → CRM → Workspace for this widget → select workspace
Important: If multiple ClickFunnels workspaces are connected and a widget has no workspace selected, lead sync to ClickFunnels is skipped until you choose one.
Using Multiple CRMs Together
You can keep more than one CRM connected at the same time.
- Each new lead is synced to each connected CRM (GoHighLevel, HubSpot, Pipedrive, ClickFunnels, plus any enabled Composio CRM connections).
- Disconnecting one CRM does not remove leads already synced to the others.
- Widget-specific choices (especially ClickFunnels workspace) still matter even when the account-level connection exists.
Verify the Connection
- Confirm the provider shows Connected in Connections and/or the widget CRM tab.
- Submit a test lead through the widget (use a real email you control).
- Check the CRM for the new contact within a minute or two.
- In HubSpot, confirm SimpleCheck properties / the submission note appear when applicable.
- For booking widgets using GoHighLevel calendars, book a test appointment and confirm the GHL calendar/event path as well as the contact sync.
Tip: If the lead saved in SmartForm but is missing in one CRM, check that CRM’s connection status first. Other CRMs may still have received the lead.
Troubleshooting
The OAuth popup never opens
Allow popups for portal.simplecheck.ai. Retry Connect / Connect via OAuth.
GoHighLevel asks me to log in again
That is expected on a fresh browser session. Sign in, choose the correct location, and approve access.
I connected the wrong GoHighLevel location
Use Connect another (or disconnect and reconnect) and select the correct location. Confirm the widget CRM tab shows the location you intend to use.
HubSpot / Pipedrive / ClickFunnels connect button does nothing
Check for a blocked popup, an expired session, or an account-level feature flag (ClickFunnels and some Pipedrive setups require enablement).
Leads save in SmartForm but never appear in my CRM
- Confirm the CRM still shows Connected in Connections.
- For ClickFunnels, confirm Workspace for this widget is selected.
- Submit another test lead and wait a minute.
- If it still fails, contact support with the widget name, CRM provider, and approximate submission time.
Legacy API Key no longer works for GoHighLevel
Switch to Connect via OAuth. Legacy keys are deprecated for new GoHighLevel setups.
I see Close CRM or Salesforce marked Coming soon
Check Connections → Available → CRM. Extended accounts can have those providers there even while the widget CRM row says Coming soon. If the provider is not available under Connections, use the widget Webhooks tab or contact support.
Still Having Trouble?
If CRM sync still fails after following these steps:
- Re-check Connections and the widget CRM tab for Connected status.
- Submit one clean test lead and note the exact time.
- Contact support through the chat widget in the bottom-right corner of the SmartForm portal, or email support@simplecheck.ai.
