Bookings & Leads: Search, Export, and Check Delivery Status

Open Booking & Lead Management


Click Bookings & Leads in the sidebar. This is the operational source of truth for whether a prospect submitted, booked, qualified, and reached the intended CRM/calendar.


The left side includes:


  • API Logs
  • Smart Routing logs when available
  • One tab per widget


Select a widget to open its booking/lead manager.

Select a widget, then use its management controls to search, export, refresh, and inspect records.



Why This Matters


  • Find a prospect while they are still warm
  • Separate “lead saved” from “CRM/calendar delivery succeeded”
  • Export the exact filtered records your sales team needs
  • Catch downstream failures without losing the original SmartForm submission



Widget Controls


At the top of a widget:


  • View Widget — opens the public widget
  • Edit Widget — opens Widget Setup
  • Bookings / Leads — switch record type when the widget supports both
  • Search — name, email, or phone
  • Export — downloads the currently filtered record type to CSV
  • Refresh — reloads current data/status


CSV exports include contact/form information plus available X-Ray, validation, meeting, routing, CRM, and calendar-delivery fields.



Read a Booking or Lead


Records can show:


  • Contact details and custom fields
  • X-Ray values/qualification
  • Meeting date/time/timezone and assigned person
  • Email validation status
  • Smart Routing result
  • CRM sync indicators/errors
  • Calendar sync status/error
  • Attribution/source data


An empty or unavailable X-Ray field is not automatically an error; confirm whether the pull succeeded.



CRM and Calendar Delivery


SmartForm saves the submission first, then attempts configured downstream delivery.


If one CRM fails:


  • The SmartForm record can still exist
  • Other CRMs may still sync
  • Calendar delivery can have a separate result


Use the provider-specific status/error shown on the record and compare it with Connections / the widget integration tabs.



Delete Test Records Carefully


Deleting a booking can optionally cancel its calendar event. Confirm whether the event should be cancelled before proceeding.


Deletion is permanent. Export anything needed first, and never delete a real lead merely to hide a downstream sync issue.



Subscription Access


If the SmartForm Subscription is inactive, existing widgets keep receiving submissions and forwarding to configured destinations, but portal submission views are hidden until reactivation.


Troubleshooting


A lead is missing from a CRM

Confirm the SmartForm record exists, inspect the provider sync error, then verify the CRM connection is healthy.


A booking has no calendar event

Inspect Calendar Sync Error, assigned person, selected calendar/team, and provider connection health.


Search shows no results

Clear the search and ensure the correct widget and Bookings/Leads tab are selected.


Export is empty

Exports use the active tab/filter. Clear search or switch tabs, then retry.


Contact support with the widget, submission ID, destination, and approximate time—redact lead PII when possible.
